Registered Email Domains

The following instructions are to register your domains with FORM. Please note, that in order to add domains you or your network/system administrator must have an access to the domain's DNS zone.

To improve Emails Deliverability and prove that emails are sent from trusted sources, all of them will be signed with DKIM signature and sent via separate queue from a separate monitored SMTP server.

To make sure your emails will be sent successfully, please follow the steps below:

  1. Navigate to the My account page and go to the Security settings tab:

2. Find the Registered Email Domains section and click Add email domain button:

3. Type in a domain name you would like to use in "From" field for emails that will be send from your account and then click the Add domain:

4. FORM system will generate DKIM and SPF records for your domain. 

SPF - is a simple email-validation system that allows receiving mail exchangers to check that incoming mail from a domain comes from a host authorized by that domain's administrators. The list of authorized sending hosts for a domain is published in the Domain Name System (DNS) records for that domain in the form of a specially formatted TXT record.

With the DKIM signature mechanism applied, the receiving mail exchangers will be able to check that incoming email sent from specific domain is authorized by this domain's administrators. A verifier obtains the domain name and the public key associated with this domain name, and verifies the signature.

Adding DKIM and SPF records to your DNS zone

Once DKIM and SPF records are generated, please contact your system administrator or refer to this help page in order to add them to your domain's DNS settings correctly.

The following instructions are applicable for adding our example domain (http://yourdomain.com ) to the GoDaddy.com web-hosting site.

Setting up SPF:

  1. Log in to your account at godaddy.com and click the Manage my domains link.

  2. Select the domain name you would like to add an SPF record to, click the wrench icon(Settings) and then select Manage DNS option

  3. Go to the Records section, click the Add button and select a TXT option from the dropdown list:

4. Enter the following values to respective fields:

  • Enter the host name for the TXT record.

  • TXT value. Please, copy value provided in the Value/Data column:

  • TTL (Time To Live) - Specify for how long the server should cache the information.

5. Click the Save button.

Setting up DKIM:

  1.  Log in to your account at godaddy.com and click the Manage my domains link.

  2. Select the domain name you would like to add an DKIM record to, click the wrench icon(Settings) and then select Manage DNS option.

  3. Go to the Records section, click the Add button and select a CNAME option from the dropdown menu.

4. Enter the following values to respective fields:

  • Enter the host name for the CNAME record.

  • Points To. Please, copy value from the Points to column in your account on Form.com.

  • TTL(Time To Live) - Specify for how long the server should cache the information.

5. Click the Save button.

Depending on the ISP, you may need to add a period at the end of the CNAME records generated by FORM (for instance, 123456789-a3b9-46c2-d23e-0f5732d1a0b._domainkey.yourdomain.com.) or delete everything that follows the domainkey word in the record(123456789-a3b9-46c2-d23e-0f5732d1a0b._domainkey).

If a "non fully-qualified domain name" error occurs when adding Points to value to your DKIM record, please try to add trailing dot to the value generated by FORM, for instance s4_domainkey.worldapp.com.

Once these records were successfully added to the DNS zone, please wait 24-48 hours for the DNS zone to update. After that, please return to the Security Settings page and click the Verify Domain button. In case if everything was done correctly, your domain will have the Verified status and will be listed under the Registered Domains Section section.

Errors

If one or more of DKIM or SPF records were not found in the DNS Zone, then a respective error message will appear on the top of Security Settings page. Remember, that it may take up to 48 hours for the DNS zone to update.

Please note, that once your domain was verified by our platform, it will not be automatically checked at a later date. So in case if something is wrong with emails sending (even if your domain has the Verified status in your account), please check whether its DKIM and SPF records are still in the domain DNS zone or re-verify this domain. To do that, click Re-Verify button. When it is clicked, the validation of the DKIM and SPF records, placed into the DNS zone will be performed. If any of the records are not found in the domain DNS zone, the Error message will be shown and the domain will get the 'Not Verified' status. If Granted domain upon clicking the 'Re-Verify' button gets the 'Not Verified' status, all outgoing emails at this domain from all users under this account will not be signed. If an error message is not displayed upon clicking the Re-Verify button, this means that the DKIM and SPF records, placed into the DNS zone were validated successfully.

  • Verified domains might be added both for single user accounts and for private label accounts from the User Administration page. For instance, if you have multiple accounts and you would like to use the same domain to send emails from all of them, please contact FORM support to assist you with copying the domain signature.

  • Please note, that verified domain added for MultiAccess account will be available for use to all users of this account, but if a sub-user of Multi-user account added a verified domain, it will be available for this sub-user only. 

  • To increase Emails deliverability, you may also whitelist the iPs of FORM servers which can be found here.
